Categories Overview

Using Categories is an excellent way to group Outlook items. Some examples:

Defining/Creating/Renaming/Deleting Categories

  1. Click on the Categories button on the standard toolbar. A list of categories is displayed, e.g.
  2. Choose All Categories. The following window is displayed:
  3. To rename an existing category (e.g. to rename Green Category to Medical) select the category from the list, then click on the Rename button.


  4. To create a new category, click on the New button. The following window appears:
    1. Enter a name for the new category.
    2. Select a color for the category.
    3. Select a Shortcut Key (if desired) to assign that category to Outlook items.


  5. To delete a category, select the category name you wish to remove then click on the Delete key.


  6. To recolor a category, select the category name you wish to recolor then click on the drop list button beside the Color field. The following colors are available:
  7. To assign a Shortcut Key to a category, use the drop list button beside None under Shortcut Key and select one of the predefined shortcuts. Once you assign a shortcut key to a category you can assign that category to any Outlook item by selecting the item then pressing the assigned shortcut key.

Assign Quick Click Category

If you assign a category as a Quick Click, you can apply that category to an Outlook item, such as an email, simply by clicking in the Categories column for the item.

  1. Click on the Categories button on the standard toolbar.


  2. Choose Set Quick Click. The following window appears:
  3. Choose the Category you wish to select for the Quick Click entry then choose OK.
